The Formalities



Student Data Privacy

We’re very passionate about making sure your student data are kept private. We use secure, encrypted mechanisms to transfer data and reports, and we handle the data with utmost care, security, and anti-virus protection. Our practices conform to all state and federal laws, including FERPA, COPPA, PPRA, and SOPIPA. Click here to see an example of our Student Data Privacy Agreement (SDPA), modeled after the agreement built by the Student Data Privacy Consortium (https://privacy.a4l.org). We require this agreement before we begin exchanging data and/or reports. For simplicity, you can download, sign, and return our “Exhibit E - General Offer of Privacy Terms” at https://sdpc.a4l.org/addendums/Ex%20E.pdf.


Purchasing Process

1.

When we first enter discussions with you regarding MMARS Ready Reports™, we will send you a price quotation and contract, based on the specific set of tests you administer, and have indicated you wish to report. If you change your mind (e.g. decide you want to include additional or different assessments), just tell us, and we’ll modify and resend. We’ll include a pro-forma invoice, in case you want to move quickly.

2.

As long as we have a signed SDPA (see above), we can begin exchanging data, and get you setup to view reports for your prior years’ results. We’ll offer you a personalized online meeting and introduction to Ready Reports™. This is effectively our “free trial”. There is no risk and no cost. We’re confident we’ll prove our value to you.

3.

Once you’ve obtained approval, and are “ready-to-go”, all you need to do is a) sign & return the contract, via email, fax, or postal mail, and b) provide your purchase order number, or a copy of your PO.

4.

At that time, we can load and reveal ALL your results, including brand-new, current scores, for ALL your tests.

5.

We’ll send a revised invoice that includes your PO#.

6.

Then, we become your Assessment Data Warehouse, and your best resource for reporting ALL your state and interim assessment results to all your audiences. And, we offer a wealth of free, personalized customer support, via several different communication channels.


Data We Need From You



To get moving, we first need you to acquire your student results data files, then upload to us. We have no access to the data except through you. As the LEA, you "own" the data.

State, Interim, and Local test results

Each publisher/contractor provides their own tool/method to export/extract/download the data. Often (especially CAASPP), only a single individual has credentialed access to do this (e.g. LEA coordinator). We use only "raw" student data. We build all your aggregates/summaries "from the bottom up"; we do not use any pre-aggregated data. Visit our webpage for help acquiring your [Student Test Results], including SBAC, ELPAC, iReady, and several other tests. These should help you. For other tests, please ask for help (similar documents are currently under construction). If you need assistance, please contact us. We'd be happy to go through it with you, via remote Zoom meeting. We'll need to pass the presenter role to you, so you can enter your credentials and login to the publishers’ site(s). Click here to schedule an online meeting with one of our representatives.


In order to provide you with a full set of classroom reports, for each teacher and period, we need class rosters for 2019-20 (spring 2020 classrooms), and for 2020-21 (new fall 2020 classrooms).

Class Rosters

Click here for a link to our webpage on Class Rosters. This page shows specifications, requirements, and has links for a sample file. Let us know if you have questions. Once we have the rosters, we'll pre-build these reports. Important Note: If you intend to provide Ready Reports™ access to your teachers, you MUST include Teacher ID numbers in your roster files. This is the “glue” that maps each teacher to his/her set of students.


When we first build your MMARS™ database, we will create a login for our primary contact. That person will have the ability to add administrator accounts, via the [My Account] option on the MMARS™ Menu. If you have only a few, that’s probably the fastest method.

MMARS™ accounts for your admins & teachers

If you have many schools and/or you want to provide access to your teachers, you’ll need to use our automated, electronic method. This method requires that you send us electronic files, for each of administrators and teachers, that provide us with end-user account and role information. This information will enable us to create the login accounts, and “tie” each account to the proper set of students (e.g. all, a specific school, a specific teacher/classroom). Once we have the electronic files, we’ll setup the accounts. We can email the account/credential notifications directly to the users, or leave that to you.



Our Process Once We Have Your Data



Data validation

When you upload data to us, we are automatically notified. The first thing we do is validate and confirm that the files are of the proper format and can be loaded by us. If you’ve followed our precise [Data Acquisition Guidance] documents, this should be a slam-dunk. Otherwise, we’ll let you know what went wrong, and ask for a re-do (with our help). This step will typically happen the same day you upload the files.


Loading, collating, and blending your data

We will take your validated data and run it through a series of internal processes to append it to your LEA’s unique database on our server. This includes comparing & matching the student information to “attach� the data to existing data for the same students. We append any new demographic attributes supplied in the new files, and we record all the new scores for each student. These processes can take up to 3 business days, but are typically complete the next day.


Once all your new data has been recorded and saved, we analyze, aggregate, and disaggregate the information, then build a wide variety of reports - for groups, subgroups, and pupils. These reports are then made available to each of your stakeholders, according to their role.

Building your Ready Reports™

We build a standard “set” of reports for each different type of test, in PDF format. Because MMARS™ is so flexible and can organize and present the data in so many ways, we do not pre-build every conceivable possibility. Not only would this be unnecessary and time-consuming on our part, it would become overwhelming on your part. You can review what standard reports we pre-build for each test, by clicking the [Ready Reports™ list], shown in the [Reports Gallery] for your test, on the left sidebar on this page. Please read/learn a little about MMARS Jux™, our tool for presenting summary results in myriad “juxtaposed” side-by-side orientations. See [Jux™ Side-by-Side Comparisons] on our webpage to help visualize this concept. This, along with many examples in the [Reports Gallery], should give you an idea of what’s possible. If you want more or different reports, or Excel format, all you must do is ask. Or, you can learn to use our DIY (do-it-yourself) reporting tools. See [Requesting additional Ready Reports™] and/or [Creating your own reports (DIY)], in the sections below.


When your reports are ready, we’ll email you a notification, with an invitation to join us in an online Zoom meeting.

If you’re new to Ready Reports™, we encourage you to let us “show you around”, at least the first time. If you’re experienced, you can hop right in and begin to view / print / download your pre-built Ready Reports™.


Getting your reports



Zoom online meeting: walkthrough, tips & techniques

We recommend that, the first time, you take us up on our offer to reveal the reports via remote Zoom meeting. At that time, we can spend a few minutes (e.g. 10-15) showing you around and providing some tips and suggestions. Beyond that, we are always available to help (email, live chat, telephone), and we have a wealth of help resources at our website (and that library is growing). Ready Reports™ is purpose-built to require little-to-no training. Basically, you login - click - view. If you have many reports, you'll need a few tips to search and filter the content to find what you're seeking. In about 15 minutes, and we can give you a real kick-start to searching and filtering your reports. If you’re an administrator, you’ll have a variety of summary and pupil reports for multiple tests, groups, and subgroups. It’s really easy to get to precisely the content you want. Teachers don’t even need this brief walk-through, because their reports are few, and are all presented in an organized list, right in front of them, when they login. Logging in to Ready Reports™

Once we have your data and have created a unique database and account for you on our reporting server, we will email you directions and credentials for logging in and retrieving reports. The MMARS Ready Reports™ application is accessed through our main website (mmars.multiplemeasures.com). Simply click on the [Login] link on the right side of the top navigation bar to go to the login page. Please feel free to contact us for assistance, guidance, or questions, at any time. View / print / download your reports

MMARS™ has the capability to create a wide variety of reports, with many different views/presentations/organizations. In order to not overwhelm you, we pre-build only a standard (most-requested) set of reports. If there's something else you want, we encourage you to ask - we'll create it, if it's possible. Ready Reports™ has done all the work for you. You’ll find almost anything there that you could want, pre-built, and ready to click and view / print / download. To help you navigate Ready Reports™. Finding your Ready Reports™ is a 2 part process: 1. MMARS Navigation walks you “down the garden path”, enabling you to focus on one entity at a time (e.g. what School? what Test? what Roster? what Report?). With each new entry, Ready Reports™ sequentially Selects (further reduces the list of reports), until you can “see” exactly what you want. Click here for a video tutorial. 2. Select is the more in-depth method, that breaks down each report aspect and displays it as a drop-down box near the top of the Ready Reports™ window. Use the drop-down boxes to pick a Results Type, Test, Report, Subgroup, Roster, etc. to greatly narrow the scope of your Ready Reports™ and easily find a specific report. Click here for a video tutorial You can skip the MMARS Navigation straight to Ready Reports™ by clicking the “Multiple Measures Ready Reports™” title on the MMARS Application home page Once you’ve located the report you are seeking, simply click [click to view] next to the item to open it. If you want to “start over” and perform another Select, just click the [Reset] button to refresh your screen to show the full list of reports.


Requesting additional Ready Reports™

If you don’t see, or can’t find, the report you are seeking, contact us. It’s likely there, and we’ll help you locate it. It’s also possible that it’s not in our standard “set” of reports. In that case, it’s very likely that we can create it for you - just ask. Because MMARS™ is so flexible and can organize and present the data in so many ways, we do not pre-build every conceivable possibility.


We really, really, really encourage you to learn how to quickly Select your Ready Reports™. We’ve done all the work for you. If you invest just a few minutes in our videos (or our free online guidance) to learning how to search & filter, you’ll easily find almost anything there that you could want, prebuilt, and ready to click and view / print / download.

Creating your own reports (DIY)

We have a wealth of help information available, including very short videos (1-2 minutes). Access them by clicking [Ready Reports™ (Inbox)], shown on this page, on the left sidebar, under [Support & Information]. But, if you’re the techie type, and insist on creating your own reports, or don’t want to learn the new (way, way easier) method, or you simply want to some ad-hoc visual reporting, without saving, then our DIY Dynamic and Batch reporting tools are for you. We don’t have much left in the way of documentation for these legacy tools, but we do have a somewhat outdated, yet helpful, video for Batch Reporting. The methods and procedures are very similar for Dynamic Reporting. On this page, on the left sidebar, under [Support & Information], click the link for [DIY Reporting].
