CALPADS Enrollment ODS Reports 1.1, 1.3, and 1.17 Data Acquisition Instructions


Step 1

Go to www.calpads.org, and login using your credentials provided by the LEA



Step 2 Click on the “Reports” drop-down box located along the left-hand side of the screen. After expanding the drop-down, click on “ODS Reports”.



Step 3 (ODS Report 1.3)

Locate and click on the report titled “1.3 Enrollment – Primary Status Disaggregated”



Step 4 In this window, it is vital that you make the proper selections for export. For all of your exports, select the explicit date of administration of your last test, NOT just the end of the school year. This generally occurs in the end of May for most districts.



Step 4 cont. Now click on the drop-down box for Grades, and be sure to explicitly select grades 3 – 8 and 11. DO NOT include grades other than these. If you fail to filter by the specified grades, the Participation Rates/Percent Tested on your SARC reports will be wrong, and incredibly low.

Now click on the “View Report” button on the right-hand side of the screen.



Step 5 Now that the report has appeared at the bottom of your screen, click the save icon and choose “CSV (comma delimited)”. If these selections don’t produce a report, go back to step 4 and choose a slightly earlier as-of date, and try again. Please note that we cannot accept any files in a format other than CSV. Do NOT send Excel files (.xls, .xlsx)



Step 6 This will download a .CSV file to your computer, in the manner typical for your browser. When naming the file, please append the grades exported in the file name after saving, but Do not open and save the CSV. Keep it as-is.

Do NOT open the downloaded file in Excel. Keep as-is, and send us the untouched file.


Step 7 (ODS Report 1.1)

Return to the ODS Reports page, and locate and click on the report titled “1.1 Enrollment – Primary Status By Subgroup”



Step 8 In this window, it is vital that you make the proper selections for export. For all of your exports, select the explicit date of administration of your last test, NOT just the end of the school year.

Be sure to choose the same date as chosen for your 1.3 export.



Step 8 cont. Now click on the drop-down box for Grades, and be sure to explicitly select grades 3 – 8 and 11. DO NOT include grades other than these. If you fail to filter by the specified grades, the Participation Rates/Percent Tested on your SARC reports will be wrong, and incredibly low.

Step 11 (ODS Report 1.17)

Return to the ODS Reports page, and locate and click on the report titled “1.17 FRPM-English Learner-Foster Youth-Count”



Step 12 In this window, it is vital that you make the proper selections for export. For all of your exports, select the explicit date of administration of your last test, NOT just the end of the school year.

Be sure to choose the same date as chosen for your 1.3 and 1.1 exports.
