How does it work?

Our system automatically sorts filings that are faxed to our office. The system accomplishes this by reading a barcode at the top of the Fax Voucher Coversheet. Special instructions encoded in the barcodes instruct the system how to route the filing correctly for approval, data entry and other functions. Special fax servers handle the receipt of all fax filings, so there's no need for standard fax machines and paper. It's electronic and less time consuming.

What do I need to do?

To successfully submit a fax filing, you must use a Fax Voucher Coversheet specifically designed for your type of filing. This combination of a Fax Coversheet and Payment Voucher not only assures your filing is properly directed but also provides a secure payment process. The use of an incorrect Fax Voucher Coversheet or an incorrect payment amount will result in the filing being misdirected by the automated system and ultimately rejected. You must use the special Fax Voucher Coversheet as the only coversheet. Please do not add your own coversheet. How do I know if it arrived at the SOC?

Most fax machines produce reports indicating that a fax has been sent successfully. Please reference your fax machine or fax software documentation. The typical turn around for a fax filing submitted during business hours is the same business day. Filings submitted on weekends or after hours will not be processed until the next business day. Please allow at least 48 hours and then check by searching the corporate database, UCC database, or trademark database to see if your filing has been added to the system www.sec.state.ma.us/cor. If for any reason you are not able to view a filing, please contact our Corporations Help Desk at 617-727-9640. Failure to view a filing may mean that it was rejected. If your business entity filing was rejected, a copy of the rejection sheet and rejected document will be available visiting www.sec.state.ma.us/cor and clicking on the "Search the Corporate Rejected Filings". If a fax filing was rejected, you will be notified by electronic mail or the postage service.
