Overview

Departmental email accounts are associated with a task or function. Departmental accounts are owned by the department or organization and must be renewed annually (fall semester). Examples of departmental accounts include purchasing@ku.edu, musicnews@ku.edu and design@ku.edu. Learn about personal email accounts.

Benefits of departmental email accounts:

  • A departmental account email address can be used on brochures, web pages, letterhead, etc. If staff changes, you won't have to reprint this material.
  • People who want to contact an office don't need to know the name of the person doing a particular task in order to send email to your office.
  • Messages in the departmental account are available year-after-year, which eases transition issues as staffing changes occur.
  • Messages can be answered in a timely manner because multiple individuals will have access to the account.
  • Email sent to the departmental account will not count against personal mailbox limits. The departmental account mailbox has its own 2 GB storage limit.

New Standard for Departmental Email Accounts/Mailboxes

All new departmental email accounts are now being set up using a new “no password” standard. Instead of using shared passwords, customers are assigned automatic access to departmental accounts within the system. Group administrators are able to manage permission and delegates via groups.ku.edu.

Benefits of the new standard include:

  • Password not needed for access
  • No need to remember multiple passwords for different departmental accounts
  • Better security because passwords aren’t shared
  • Group administrators can add and remove members via groups.ku.edu without contacting KU IT
