After You Get the Job

Congratulations on your new job!Go to the Employment Services Office (D-70 ASB) to complete your new hire paperwork. This includes 1) setting up your direct deposit information, 2) completing a W-4 form, and 3) completing an I-9 form.You will be also required to present a Social Security card for Payroll tax purposes.In the event, you do not have an original Social Security card, follow the directions listed below.

Direct Deposit

Completing this form will allow the University to automatically deposit your pay into your checking or savings account in any U.S. bank.  If you have any questions, please contact Payroll at (801) 422-8186.

Please note: if the routing number-the first nine digits-on the deposit slip does not match the routing number on your checks, you will have to submit a voided check or a copy of a check.

Form W-4 Employee’s Withholding Allowance Certificate

The Form W-4 allows your employer to withhold the correct amount of federal income tax from your pay. Because your tax situation may change, you may want to refigure your withholding allowance every year. The Payroll Office (D-55 ASB) will answer any questions you have about completing this form. They can be reached at (801) 422-8186.

Non-citizens must contact the Payroll Office to fill out their W-4 because certain countries have tax treaties with the United States that exempt their citizens from paying taxes.

I-9 Certification

Federal immigration regulations require everyone hired in the United States to prove their identity and eligibility to work by completing an I-9 form every time you start a new job.

To be considered a "timely hire, " the I-9 is to be completed on or before the first day of work. The Department of Justice does allow a grace period of three business days, including the first business day worked. However, we strongly encourage this certification to be completed by the first day worked. If certification occurs after the employee has worked three business days, the hire is considered a "late hire. "

BYU can be fined by the Department of Justice up to $1,000 for each "late hire " certification in the event of an audit. We ask for your utmost cooperation in preventing "late hires. "

If the employee does not begin I-9 certification before beginning work, the hire is considered a "late hire."

Acceptable Documents for I-9 Certification

The following are acceptable documents that satisfy the I-9 regulation:

*Please note that Laminated Social Security Cards can not be accepted for I-9 purposes.

How to Obtain a Social Security Card

To get a Social Security number or replacement card, you must complete an application and prove your U.S. citizenship or immigration status, age and identity.Certain documents can be accepted as proof of identity.An acceptable document must show your name, identifying information about you and preferably a recent photograph.

If you are a U.S. Citizen, Social Security must see either:

  • U. S. drivers’ license,
  • State-issued nondriver identity card, or
  • U. S. passport

If you do not have these specific documents or cannot get a replacement for them within 10 days, we will ask to see other documents, including:

  • Employee ID card,
  • School ID card,
  • Health insurance card (not a Medicare card),
  • U.S. military ID card, or
  • Adoption decree

If you are not a U. S. citizen, Social Security must see your current U. S. immigration documents. Acceptable documents from the Department of Homeland Security include your:

  • Form I-1551 (includes machine-readable immigrant visa with your unexpired foreign passport)
  • I-94 with your unexpired foreign passport, or
  • Work permit card (I-766 or I-688B)

Visit the Social Security Administration web page at www.ssa.gov for more information and a downloadable application form. The Social Security Office will issue a receipt at no cost. We can use this receipt to fill out your paperwork and give you a 90-day extension allowing you to work on campus. As soon as your card arrives in the mail, please bring it to the Employment Services Office, D-70 ASB. If you fail to bring your card into our office before the 90-day extension expires, you will be terminated from your job.

Once your paperwork has been completed, you will receive an Authorization to Begin Work form from Employment Services.Give the form to your new manager for their employment records.
